The real estate marketing tools I actually use.
Over the years, I have worked inside almost every type of platform represented here. These are not the only capable options—or the only tools I have used. They are the ones I continue to use, implement or recommend based on direct operating experience, and where I would begin when building a real-estate business around a clear strategy. The stack changes as the business changes; these are the choices I am making now.
| Need | My pick | Why |
|---|---|---|
| CRM + automation | HighLevel | The CRM and automation system I am building around The Madrona Group. |
| Website | WordPress | Maximum control over content, conversion paths and SEO. |
| IDX | IDX Broker | The IDX platform I have used in real-world real-estate sites. |
| Forms | Fluent Forms + Formidable Forms | Fluent on JasonFox.me; Formidable on The Madrona Group. The right choice depends on the job. |
| SEO | Rank Math | Part of the current SEO stack on the sites I manage. |
| Newsletter | beehiiv | The publishing platform behind The Next Chapter. |
| Payroll | Gusto | The payroll tool I use for the business. |
| Accounting | QuickBooks Online + Bench | QuickBooks is the current accounting tool. Bench handled The Madrona Group’s first three years, and I especially valued the service for the price. |
| Video | Descript | My editing, captioning and content-repurposing workflow. |
| Design | Canva | Daily marketing, presentation and social production. |
A useful warning
The tool is not the system.
Software almost never fixes the underlying problem. A CRM will not fix a follow-up process nobody follows. An IDX will not fix a website nobody visits. AI will not fix an offer nobody wants. Build the system first. Then choose the tool that helps it run.

Use the full comparison library when you need it.
The tools below are here to help you compare a specific job—not to give you a giant shopping list. Search a word such as “CRM,” “email,” “social,” “AI,” “IDX,” “SEO,” “seller,” “prospecting,” “video,” “transactions,” “analytics,” “WordPress” or “plugins”—or choose a category below.
Quick-fit scores are editorial starting points, not vendor benchmarks. Effectiveness assumes a real process behind the tool.

My current stack
The tools I am actively using or implementing.
This is separate from the directory. It is the smaller set I can discuss from direct work—not a claim that other tools cannot be right for another business.
- HighLevel — CRM and automation
- WP Engine + Kadence — this WordPress platform
- IDX Broker + Rank Math — property search and SEO
- Formidable Forms — conversion paths and lead forms
- Canva + Descript — creative and content production
- beehiiv — The Next Chapter newsletter
The bottom line
Build a stack you will actually use.
You do not need every tool above. You need a clear business foundation, a conversion path, consistent follow-up and a useful point of view. Start there, then add software deliberately.
